1. Who We Are
Ironwood Home Solutions ("Ironwood", "we", "us") operates this web portal (the "Portal") to support its solar, roofing, decking, window, and siding sales, installation, and project management operations. The Portal includes separate areas for sales representatives, operations staff, subcontractors, marketing team members, and homeowners.
2. Information We Collect
Account information: your name, email address, phone number, and role when you are invited to or register for the Portal. If you sign in with Google, Google shares your basic profile information with us.
Project information: details you or your representative enter about a project — property address, system or project specifications, quote and contract details, appointment dates, and payment status indicators.
Documents and photos: files uploaded through the Portal, such as contracts, estimates, utility bills, roof reports, measurement files, field photos, warranties, and permits.
Usage information: basic activity within the Portal (such as records you create or update) and standard technical data such as device and browser type.
3. Google User Data and Limited Use
When you sign in with Google or connect a Google account to the Portal, we access Google user data only for these purposes: Google Sign-In (name, email, profile picture — to create and authenticate your account); Google Business Profile (our customer reviews — to display and respond to reviews); Google Drive (to file project documents and photos with the correct project); Google Calendar (to schedule appointments, surveys, installations, and follow-ups); Gmail (to send project notifications on our behalf); Google Sheets and Forms (to import lead, rep, and payroll data); and Google Search Console (our own website metrics for marketing charts).
We use Google user data only to provide and improve the Portal's functionality — never for advertising or any independent purpose. We store it on encrypted, access-controlled cloud infrastructure in the United States, and we share it with third parties only as necessary to deliver the Portal's functionality (such as our hosting and document storage providers). We never sell it or transfer it for advertising, and we do not use Google user data to determine creditworthiness or for lending purposes. Google Workspace APIs and Google user data are not used to develop, improve, or train generalized or non-personalized artificial-intelligence or machine-learning models; any AI features in the Portal operate only on project documents provided for your project, and only to produce user-facing deliverables.
Google user data is retained only while your account is active or the connection stays authorized. You can revoke the Portal's access at any time in your Google Account security settings, delete your account from the Settings page, or contact us to request deletion. Our use of Google user data adheres to the Google API Services User Data Policy, including the Limited Use requirements.
4. How We Use Your Information
We use your information to operate and maintain the Portal: to administer your account, manage projects and appointments, generate quotes, contracts, and estimates, process communications between homeowners, representatives, and subcontractors, provide customer support, and comply with legal obligations.
5. How We Share Your Information
We share information only as needed to operate our business: with the Ironwood representative or subcontractor assigned to your project; with financing or payment providers you choose to work with; with e-signature and document services (such as DocuSign) used to execute contracts; and with document storage services. We may also disclose information when required by law. We do not sell your personal information.
6. Storage and Security
Portal data is stored with reputable cloud providers. We use industry-standard measures — encrypted connections and role-based access controls — to protect your information. Each Portal user only sees the records their role permits. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security.
7. Cookies and Analytics
The Portal uses a small number of functional cookies and similar technologies to keep you signed in and remember your preferences (such as theme and language), and basic analytics to understand how the Portal is used. You can control cookies through your browser settings.
8. Your Choices and Rights
You may review and update your account information in the Portal's Settings page. You may request deletion of your account using the "Delete Account" option in Settings, or by contacting us. Depending on your location, you may have additional rights to access, correct, or delete your personal information — contact us to exercise them.
9. Data Retention
We keep your information for as long as your account is active or as needed to complete and support your project, and for a reasonable period afterward to satisfy legal, accounting, and warranty obligations.
10. Children's Privacy
The Portal is not directed to children, and we do not knowingly collect personal information from anyone under 18.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by the "Effective" date shown above, and continued use of the Portal after changes means you accept the updated policy.
